Welcome to KILIMARK ADVENTURES. By booking any tour, trek, safari, or service with us, you agree to be bound by these Terms and Conditions. Please read them carefully before making a reservation.

1. Booking and Payment

1.1 Booking Confirmation

A booking is confirmed only upon receipt of a deposit (minimum 30% of total tour cost) and written confirmation from KILIMARK ADVENTURES. Full payment is required at least 30 days before the tour departure date.

1.2 Payment Methods

We accept payment via bank transfer, credit card, Pesapal, or cash (USD, EUR, or TZS). All prices are quoted in US Dollars unless otherwise stated.

1.3 Price Changes

Prices are subject to change until a booking is confirmed with a deposit. Once confirmed, prices are guaranteed and will not change, except in cases of government-imposed tax increases or significant currency fluctuations.

2. Cancellation and Refund Policy

2.1 Cancellation by Client

  • 60+ days before departure: Full refund minus $200 administration fee
  • 30-59 days before departure: 50% refund
  • 15-29 days before departure: 25% refund
  • Less than 15 days before departure: No refund

2.2 Cancellation by KILIMARK ADVENTURES

We reserve the right to cancel any tour due to insufficient bookings, safety concerns, or force majeure events. In such cases, you will receive a full refund or the option to reschedule.

2.3 No Show

Failure to arrive on the scheduled departure date without prior notice will result in forfeiture of all payments.

3. Travel Insurance

Travel insurance is mandatory for all tours. Your insurance must cover:

  • Medical expenses and emergency evacuation
  • Trip cancellation and interruption
  • Lost or stolen belongings
  • High-altitude trekking (for Kilimanjaro/Mount Meru climbs)

KILIMARK ADVENTURES is not responsible for any costs incurred due to lack of proper insurance coverage.

4. Health and Fitness Requirements

Participants must be in good physical and mental health. For Kilimanjaro and Mount Meru climbs, a reasonable level of fitness is required. We recommend consulting your doctor before booking, especially if you have pre-existing medical conditions.

You must disclose any medical conditions that may affect your ability to complete the tour. Failure to do so may result in removal from the tour without refund.

5. Participant Responsibilities

5.1 Valid Documents

You are responsible for obtaining valid passports, visas, and any required permits. KILIMARK ADVENTURES can assist with visa information but is not responsible for visa denials.

5.2 Following Instructions

You must follow instructions from guides and tour leaders at all times. Failure to comply may result in removal from the tour for safety reasons, without refund.

5.3 Respect for Environment and Culture

You are expected to respect local cultures, customs, and the natural environment. Leave No Trace principles apply to all treks and tours.

6. Liability and Risk

6.1 Assumption of Risk

Adventure travel involves inherent risks. By booking with KILIMARK ADVENTURES, you acknowledge and accept these risks, including but not limited to:

  • High-altitude sickness on mountain treks
  • Wildlife encounters during safaris
  • Adverse weather conditions
  • Physical injury or illness
  • Transportation accidents

6.2 Limitation of Liability

KILIMARK ADVENTURES, its employees, guides, and agents shall not be liable for any injury, death, loss, damage, delay, or inconvenience arising from:

  • Acts of God, weather conditions, natural disasters
  • War, civil unrest, terrorism, or political instability
  • Illness, pandemics, or quarantine
  • Strikes, flight cancellations, or transportation delays
  • Theft or loss of personal belongings

6.3 Our Commitment to Safety

While we cannot eliminate all risks, KILIMARK ADVENTURES is committed to your safety. We employ experienced guides, maintain quality equipment, and follow established safety protocols.

7. Changes to Itinerary

KILIMARK ADVENTURES reserves the right to modify itineraries due to weather, safety concerns, national park regulations, or other unforeseen circumstances. We will make every effort to provide suitable alternatives.

8. Complaints and Disputes

If you have any complaints during your tour, please inform your guide or tour leader immediately so we can attempt to resolve the issue. Written complaints should be sent to info@kilimarkadventures.com within 30 days of tour completion.

Any disputes will be governed by the laws of the United Republic of Tanzania and subject to the jurisdiction of Tanzanian courts.

9. Photography and Marketing

KILIMARK ADVENTURES may use photographs or videos taken during tours for marketing purposes. If you do not wish to be featured, please inform us in writing.

10. Age Requirements

  • Kilimanjaro climbs: Minimum age 10 years (with parental consent)
  • Mount Meru: Minimum age 12 years
  • Safaris: All ages welcome (family-friendly)
  • Minors (under 18) must be accompanied by a parent or legal guardian

11. Gratuities (Tips)

Tips are not included in tour prices but are customary and appreciated. Recommended amounts:

  • Kilimanjaro crew: $250-350 per climber (shared among team)
  • Safari guides: $15-20 per person per day
  • Day trip guides: $10-15 per person
